Job Description

We are looking for an experienced Administration professional to supervise & independently manage day to day operations of our office located at Gurugram. The ideal candidate should be well versed with various facets of Facilities management including Soft-services, Maintenance, Logistics, Employee Transport & Cafeteria services, Physical Security & basic understanding of EHS.  
He / She should be customer centric & have problem-solving capabilities. Preference will be given to immediate joiners based at Gurugram.  

 

Education - Any Bachelor’s degree/ Hotel Management from a reputed College/Institution 

Experience - 7-9 yrs preferably in an IT Sector Company 
 
•    Manage an  office set-up in a fast-paced environment 
•    Oversee facilities services & overall upkeep of the facility. 
•    Coordinate & oversee maintenance activities
•    Ensure & Maintain high service levels and responsiveness for office facilities & employee requests
•    Maintain good working relations with the employees and associates alike
•    Manage logistics, mail & couriers for the company 
•    Accountable for office upkeep including pantry, cafeteria & Housekeeping Services etc.  
•    Ensure sufficient stocks of biscuits, tea/coffee material, pantry items, stationery, housekeeping material, water bottles etc. 
•    Ensure that all assets & equipment including furniture & fixtures, electrical fittings etc. are well maintained & always in good working condition  
•    Coordinate with the building maintenance team/supervisor/Manager for any issue related to electrical fixtures, DG, AC and other building maintenance work or with the Landlord as needed.
•    Organize and supervise other office activities (Festivals, celebration & Event planning etc.) 
•    Ensure that the equipment is serviced timely as per AMC schedule & recommendations 
•    Keep a record of all maintenance & breakdown history 
•    Coordinate with Meal Vendor for timely and quality meals for employees (Lunch, evening snacks and dinner). Taste them well before it is served to employees. 
•    Arrangements of lunch/snacks etc. for new joiners/visitors/farewell etc. as and when required. 
•    Provide logistical support to client site at Gurugram as & when needed. 
•    Ensure that bills are received on time from landlord, Building Maintenance & vendors for rent, electricity, supplies & services rendered etc., if any, and immediately process them for timely payment. 
•    Daily Facilities Check List to be maintained and reported 
•    Maintain list of all the local vendors and their contact number for timely supply of material 
•    Monitor inventory of office supplies with attention to budgetary constraints  
•    Monitor costs and expenses to assist in budget preparation  
•    Proficient in MS Office with an analytical mind and problem-solving skills. 
•    Excellent organizational and multitasking abilities  
•    Proactive, task driven and positive attitude.
